Livingroom is seeking a Guernsey based, confident individual to join our team on a full-time basis. The position of Group Business Administrative Support is an excellent opportunity to join a dynamic business and help deliver first-class client service. A self-motivated, proactive, methodical and flexible attitude with previous experience of working within an office environment will be essential for this cohesive role – developing and facilitating both the Guernsey and Jersey offices.

Group Business Administrative Support Responsibilities

The position of Group Business Administrative Support is an excellent opportunity to join a dynamic business and help deliver first-class client service. A self-motivated, proactive, methodical and flexible attitude with previous experience of working within an office environment will be essential for this cohesive role – developing and facilitating both the Guernsey and Jersey offices.

  • Working alongside the Business Support team to provide proof reading to other staff members
  • Ensure policies and procedures are maintained, monitored and updated, as required
  • Monitoring group software
  • Working alongside the Business Support team to maintain corporate and company files, including monitoring archiving and online files
  • Working alongside AML professionals to facilitate and document transactions as required
  • Constant communication with Business Support (both islands) advise and contribute accordingly
  • Dealing with any generic emails relating to the business
  • Answering business calls on behalf of the CEO and advising accordingly
  • Attend business provider meetings with CEO
  • Working alongside the management team to complete business forms
  • Working alongside the Financial Controller to handle incoming invoices
  • Working alongside the Financial Controller for banking duties as required including monitoring bank accounts for deposit payments and preparation of funds
  • Monthly petty cash reconciliations and monitor payments of same
  • Working alongside the Business Support team to monitor housekeeping and office supplies
  • Assistance in organising maintenance of office buildings
  • Main contact with IT providers in both islands
  • Working alongside the Financial Controller to seek quotes and monitor service agreements
  • Working alongside Group HR with recruitment administration/holiday/sickness administration and ensure there is sufficient cover in both islands
  • Attend board meetings as required together with preparation of minutes/board papers
  • Maintain and update company files
  • There may be a requirement to attend the Jersey office infrequently/as required 

Experience

Previous experience of working within an office environment will be essential.

  • Good knowledge of Microsoft Outlook, Word and Excel
  • Understanding of video conferencing tools such as Teams/Zoom to enable pan-island meetings
